Privacy Policy

This Privacy Policy explains how Doorola, LLC (“Doorola,” “we,” “our,” or “us”) collects, uses, shares, and protects information when you use the Doorola website, mobile applications, and related services (collectively, the “Service”).

We treat your privacy seriously. This policy covers everyone who interacts with Doorola: landlords and property managers who use the Service to manage rentals, tenants whose information landlords store in the Service, and applicants who submit rental applications.

1. Summary

  • We collect information that landlords provide about their properties and tenants, and information that applicants provide on rental applications.
  • For applicants, this includes sensitive information such as Social Security number, criminal history disclosures, and eviction history disclosures, when you choose to provide it.
  • We do not sell your personal information.
  • We share information with the specific landlord you submit an application to, with service providers who help us run the Service, and with consumer reporting agencies when you authorize a background or credit check.
  • You have rights regarding your information, including the right to access, correct, and delete it. See Section 8.

2. Information We Collect

2.1 Information You Provide

When you create an account or use the Service, we collect information you provide, which may include:

  • Account information: name, email address, password, phone number
  • Property and lease information (landlords): property addresses, unit details, rent amounts, tenant records, lease documents, and maintenance records
  • Tenant information (provided by landlords): tenant names, contact information, lease terms, and payment history
  • Rental application information (applicants): full legal name, date of birth, current and prior addresses, employment and income information, references, emergency contact, Social Security number, criminal history disclosures, eviction history disclosures, and signed consent for background and credit screening
  • Payment information: billing details for paid subscriptions, processed by our payment processor (currently Stripe). We do not store full payment card numbers on our systems.
  • Communications: messages you send to us through email, support requests, or in-product feedback

2.2 Information Collected Automatically

When you use the Service, we and our service providers automatically collect:

  • Device and connection data: IP address, browser type, operating system, device identifiers, referring URLs, and pages or features you access
  • Usage data: actions you take in the Service, timestamps, and error reports
  • Cookies and similar technologies: we use cookies and local storage to keep you signed in, remember preferences, and measure how the Service is used

2.3 Information from Third Parties

With your authorization, we may receive information from third parties:

  • Consumer reporting agencies: when you authorize a background, credit, or eviction screening report, the consumer reporting agency provides the report to the requesting landlord and, depending on the integration, to us as the platform facilitating the request.
  • Authentication providers: if you sign in with a third-party account, that provider shares basic profile information with us

3. How We Use Information

We use information for the following purposes:

  • To provide, maintain, and improve the Service
  • To process rental applications and screening requests
  • To facilitate communication between landlords, tenants, and applicants
  • To process payments and manage subscriptions
  • To send service announcements, security alerts, and support messages
  • To prevent fraud, secure the Service, and enforce our Terms
  • To comply with legal obligations

We do not use applicants’ sensitive information (Social Security number, criminal history, eviction history) for any purpose other than facilitating the specific rental application for which it was provided and any background or credit check the applicant authorizes.

4. How We Share Information

We share information only as described in this Section 4.

4.1 With the Landlord You Apply To

When you submit a rental application through a landlord’s link, your application is shared with that specific landlord. We do not share your application with any other landlord.

4.2 With Consumer Reporting Agencies

When you authorize a background or credit check, we transmit the information needed to complete the check to the consumer reporting agency that performs the screening. That agency is responsible for the report it produces and is governed by its own privacy practices and the Fair Credit Reporting Act (FCRA).

4.3 With Service Providers

We share information with vendors who help us operate the Service under contractual obligations to protect that information. Current service providers include:

  • Supabase — database, authentication, and file storage
  • Netlify — web hosting and content delivery
  • Stripe — payment processing for subscriptions
  • Sentry — error tracking and performance monitoring
  • Email delivery providers — for transactional and notification emails

4.4 For Legal Reasons

We may disclose information if required by law, valid legal process (such as a subpoena), or to protect the rights, property, or safety of Doorola, our users, or the public.

4.5 In a Business Transfer

If Doorola is acquired by, merged with, or sells assets to another company, your information may be transferred as part of that transaction. We will notify you of any such transfer and any change to this policy that results.

4.6 We Do Not Sell Your Information

We do not sell personal information for monetary or other valuable consideration, and we do not share it for cross-context behavioral advertising.

5. Data Retention

We retain personal information for as long as it is needed to provide the Service and to comply with our legal obligations. Specific retention periods include:

  • Account information: for the life of your account, plus a reasonable period after deletion for backups and legal records
  • Rental applications and screening data: up to seven (7) years after the application is decided, to align with federal and state record-keeping standards under the FCRA and fair-housing laws
  • Payment records: up to seven (7) years, as required by tax and accounting regulations
  • Logs and analytics: typically up to ninety (90) days, longer if needed for security investigation

You may request deletion of your information at any time (Section 8). We will honor those requests unless we are required to retain the information by law (for example, FCRA record-keeping for screening reports).

6. How We Protect Information

We use commercially reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit (TLS), encryption at rest, access controls, and regular monitoring. However, no online service is completely secure. You are responsible for keeping your password confidential and for notifying us promptly at security@doorola.com if you suspect unauthorized access to your account.

7. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided information to us, please contact us at privacy@doorola.com and we will delete it.

8. Your Rights and Choices

Depending on your location, you may have the following rights with respect to your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: request that we correct inaccurate information
  • Deletion: request that we delete your personal information, subject to legal retention requirements
  • Portability: request a copy of your information in a portable format
  • Objection or restriction: object to or limit certain processing of your information
  • Withdrawal of consent: withdraw consent you previously gave us, where processing is based on consent

To exercise these rights, email us at privacy@doorola.com. We will verify your identity before responding and will respond within the timeframe required by applicable law.

California residents: in addition to the rights above, you have specific rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we have collected, the right to delete it, the right to correct it, and the right not to be discriminated against for exercising your rights. We do not sell your personal information or share it for cross-context behavioral advertising.

Other state residents (Virginia, Colorado, Connecticut, Utah, and others): you may have similar rights under your state’s consumer privacy law. Contact us at privacy@doorola.com to exercise them.

9. Cookies and Tracking

We use cookies and similar technologies for essential Service functions (keeping you signed in), preferences (remembering your settings), and basic analytics (understanding aggregate usage). You can control cookies through your browser settings, but disabling them may affect Service functionality.

We do not use cookies for cross-site advertising or third-party ad targeting.

10. International Users

The Service is operated in the United States and is intended for users in the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States. By using the Service, you consent to that transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through an in-product notice at least thirty (30) days before the changes take effect. The “Effective” date at the top of this page indicates when the policy was last updated.
